What happens to an enquiry.

The form asks for very little. Here is how each part is used.

Who is responsible

Kingsway Consultancy is operated by Torus Management Consultancy LLC, which is the controller responsible for this website and the enquiries sent through it.

What the form asks for

  • Which of five options is closest to what you need.
  • Your name.
  • An email address or a phone number, whichever you prefer us to use.
  • Optionally, a sentence or two about what needs looking at.
  • A tick to confirm you want a reply about this enquiry.

What is recorded with it

That it came through this website, which page you used, the time, and the version of this notice. If you followed a link from another Kingsway website, which one. If the link you followed carried a campaign code (such as utm_source), that code. Nothing is stored in your browser.

Your enquiry is recorded as a follow-up task in our enquiry records. If we already hold a record with exactly the same email address, the task is linked to it and that record is not changed; otherwise a new record is created. So that pressing Send again can be matched to the same enquiry, the website keeps a short technical note of each enquiry for 30 days: reference numbers and a one-way code made from the email address, never the address itself.

What not to send

Please don’t send documents, contracts, figures or personal details about your staff or workers; a conversation can start without them. If something like that is needed later, we will say what, why and who would see it, and you decide whether to share it.

Why we use it

To reply to your enquiry and, where useful, arrange a short conversation about it. Nothing is passed to a specialist or another provider unless you want that introduction, and before anything is shared we tell you who would receive it and why.

Enquiries from this website are kept in the same enquiry records as the other Kingsway websites’ enquiries.

Why we are allowed to

We rely on legitimate interests to reply to business enquiries, manage the business relationship, keep this website secure and, where relevant, tell businesses about our services; on steps you ask us to take, where that applies; and on legal obligations for the records we must keep. Sending an enquiry is not agreement to marketing, and you can object to direct marketing at any time.

The tick on the form confirms that you want a reply about this enquiry.

Who handles it, and where

Zoho holds our enquiry records and runs our booking and email services, in its data centre in the United Arab Emirates. Cloudflare hosts this website and runs the service that receives the form; like any web host, it sees the address a request comes from, for security. If you book a call, Google provides our calendar and the Google Meet video call.

Our systems may be operated or accessed in the United Kingdom, the European Economic Area, the United States and the United Arab Emirates. Where UK transfer rules apply, we use the relevant adequacy arrangement or contractual safeguards and complete any required transfer assessment. You can ask us which safeguard applies to a particular transfer.

How long it is kept

Enquiries are normally kept for up to 24 months after the last meaningful contact. Introduction, service, contract, invoicing and commission records may be kept for six years. If you ask us not to contact you, we keep a minimal record for as long as we need it to respect that. Security logs follow our hosting provider’s standard security-retention period.

If you book a call

Booking a call takes you to our Zoho Bookings page. The details you give there and the time you choose are used to arrange and hold the call, and are handled by Torus Management Consultancy LLC in the same way as an enquiry: they are recorded in the same enquiry records and in our calendar, and the call takes place on Google Meet. A click on the booking link is not an appointment; a booking is made only on that page.

Cookies and analytics

This site sets no cookies, uses no analytics and loads nothing from other websites. Cloudflare, our host, may set a strictly necessary security cookie if it needs to tell people from automated traffic.

Your rights

Depending on the circumstances, you can ask to see, correct or delete what we hold about you, ask us to restrict its use or give you a copy, or object to how we use it. You can object to direct marketing at any time. Email hello@kingswayconsultancy.co.uk; we reply without undue delay and normally within one month.

If you are unhappy with how we have handled your information, tell us first and we will look into it. You can also complain to the Information Commissioner’s Office, the UK regulator for data protection: make a complaint to the ICO.
